Getting started with FlowState

FlowState is the tool your shop uses to track customer equipment from drop-off to pickup. Every pair of skis or board that comes in becomes a work order that moves through clear stages — received, in progress, ready, and picked up — so nothing gets lost and customers know when their gear is ready.

This guide covers signing in, finding your way around the screen, and the words you'll see most often.

Who can use it

• Shop staff can sign in and use everything in the day-to-day Operate area: the Work board, Customers, Inbox, and Record.
• Shop owners can do everything staff can, plus open Shop settings to change prices, branding, the waiver, and customer messages.

Each person signs in with their own email and password. What you see is limited to your own shop.

How to use it

Sign in

1. Open your shop's FlowState web address in a browser.
2. Enter your Email and Password.
3. Click Sign in.

You'll land on the Work board — your shop's home screen.

Find your way around

The menu on the left is split into two groups:

• Operate — your daily tools:
  • Work — the board of every active job.
  • Customers — your customer directory.
  • Inbox — online requests and orders that need follow-up.
  • Record — the full history of all work orders.
• Owner:
  • Shop — settings for your shop (mainly for the owner).

The bar across the top has a Search customers box, a light/dark mode switch, a notifications bell showing recent activity, and an account menu (your initials) with Settings and Sign out.

The New work order button sits near the top of the left menu and is always one click away.

Sign out

1. Click your initials (the account menu) in the top-right.
2. Click Sign out.

What to expect

• After signing in, you'll see the Work board for your shop.
• The left menu stays in place as you move between screens, so you can always get back to Work, Customers, Inbox, Record, or Shop.
• Switching light/dark mode changes only how the screen looks, not your data.

Limitations

• You only ever see your own shop's customers and work orders.
• There's no separate "dashboard" page — the Work board is your home screen and your daily overview.
• Changing your password signs you out of FlowState on any other devices.

Frequently asked questions

I forgot my password. What do I do? Ask your shop owner to help reset it. Passwords must be at least 12 characters.

Can I use FlowState on a tablet or phone? Yes. It runs in a web browser, so it works on a shop tablet or computer. For taking in gear at the counter, a tablet or computer works best.

Do customers sign in here too? No. Customers never sign in. They can start a drop-off request from a public page on their phone — see Online Service Requests.

What's the difference between the Work board and the Record? The Work board shows jobs that are still active. The Record shows the complete history, including finished and picked-up orders. See Using the Work Board and The Record.

Troubleshooting

• The page sent me back to the sign-in screen. Your session ended. Sign in again. This also happens right after a password change.
• I can't see the Shop settings. Shop settings are intended for the owner. If you need a price or message changed, ask your owner.
• My screen looks different from a coworker's. One of you may be in light mode and the other in dark mode. Use the sun/moon switch at the top to match.
• Nothing loads or the screen is blank. Refresh the page. If it keeps happening, check your internet connection, then contact your shop owner.
