The work-order line, end to end.

FlowState is one continuous system from the moment a customer drops off gear to the moment they pick it up. No paper, no lost tickets, no “let me go check the back.”

A lifecycle, not a sticky note

Every work order moves through a clear state machine — pending, confirmed, in progress, ready, picked up. Staff advance each job deliberately; nothing jumps stages on its own, and nothing gets deleted. The history stays intact for audit.

  • Explicit states, no ambiguity
  • Staff-controlled transitions
  • Append-only — orders are never deleted

Customers start the order

A shop-branded intake page lets customers log their gear and the service they need before they reach the counter. Submissions land in your queue as pending, rate-limited and gated — you decide what moves forward.

  • Public, per-shop intake link
  • Rate-limited against abuse
  • Staff confirm before work begins
FlowState public intake — the “Let’s start with you” contact step on a phone-sized form.

Service history that stays

Every order tied to your shop is kept as a durable record. Look up last season’s mount specs, audit a tune, or settle a dispute in seconds — the drawer of smudged paper is gone for good.

  • Per-shop, searchable history
  • Audit-ready record of every job
  • Mount specs and notes preserved
FlowState customer profile — a skier’s full history: every work order, all equipment and boots, and signed agreement documents preserved with timestamps.

Isolated by shop, by design

Each shop sees only its own customers, equipment, and queue. Shop context is derived server-side from the URL — never trusted from the client — so data never crosses between locations. New shops onboard through configuration, not code.

  • Strict per-shop data isolation
  • Server-derived shop context
  • Onboard locations without code changes

Capabilities

Everything your shop runs on, in one system.

From a customer’s first tap to the durable record long after pickup — here’s exactly what FlowState does today, and what’s next on the line.

Customer self-intake

A frictionless front door — the order starts before they reach the counter.

Public, per-shop intake page

A shop-branded link lets customers log their gear and the service it needs from a phone in about ninety seconds — no account, no app to install.

Recognizes returning customers

A repeat customer’s equipment and boots are matched from their email and phone, so they reuse gear that’s already “on file” — faster intake for the customer and the shop.

Tune, mount & repair with estimates

Customers pick a service per pair — tune, mount, repair, or your custom services — across multiple pairs, with an upfront estimate from your published prices.

Bot-protected submissions

Every public request passes a bot check before it reaches your queue, so the front door stays open without being abused.

FlowState public intake — choosing skis and a tune, mount, or repair service with an estimated total.
Agreements & records

Signed, stored, and tied to the customer for good.

Signed mounting agreements

For any mount, the customer reads your binding agreement, draws a signature, and types their legal name — a legally binding e-signature under the ESIGN Act and UETA, captured before the skis hit the bench.

Digital copies stored in the cloud

Each signed agreement is saved as a PDF in the cloud and stays permanently attached to that customer’s record — always there for the next mount or a dispute.

Durable service history

Work orders are never deleted. Every order tied to your shop stays auditable — last season’s mount specs, a tune from two winters ago, the note a tech left on the bench.

Per-order staff notes

Append-only notes on each work order keep the front counter and the back bench on the same page, without anything getting overwritten.

FlowState work order record: a completed job kept as durable service history on the customer account.
Shop workflow

Run the line item by item — status follows the work, not the other way around.

One shared Service Queue board

Every live work order on one board, across clear lanes — awaiting service, in progress, ready, customer notified — so the whole shop reads the same truth at a glance.

Item-driven lifecycle

Advance each pair — pending, in progress, done — and the work order’s stage is recomputed automatically. Staff never set a status by hand, and nothing jumps a stage on its own.

Intake triage & promised-by dates

Customer submissions land as “needs intake.” Set a promised-by date and confirm to activate — and see at a glance what’s overdue, due today, and ready to go home.

Printable work-order tags

Print a physical tag straight from the work order, so the gear on the rack always points back to its digital record.

Multi-shop isolation & secure access

Each shop sees only its own queue, customers, and equipment — context is derived server-side, never trusted from the client. Staff access is authenticated and role-aware; new locations onboard through configuration, not code.

FlowState Service Queue board — live work orders across lanes: awaiting service, in progress, ready, and customer notified.
Customer notifications

When the gear’s ready, the customer hears it — and the phone stops ringing.

Completion email

Mark the gear ready and the customer gets a clean “your skis are ready” note — a service summary and pickup details, branded as your shop, not as us.

Custom templates & shop branding

Customize the notification with your shop’s logo, sender details, and pickup hours, so every message looks like it came straight from you.

Automatic text (SMS) pickup alerts

Coming soon

Text the customer the moment their gear is ready — the same clean summary, straight to their phone. On the roadmap; we’ll never bill you for it before it’s live.

Shop analytics & insights

Coming soon

Turnaround times, busiest services, and seasonal trends across your shop — a clear read on how the bench is flowing. On the roadmap.

FlowState completion email — “Your skis are ready” with a service summary and pickup details, branded as the shop.
Why ski shops trust us

No invented stars. Just what’s actually true.

Built by Reiter Solutions

A studio building custom software with skin in the game — not a faceless SaaS marketing engine.

ESIGN & UETA compliant

Mounting agreements are legally binding from the moment your customer signs them. Not a checkbox; a real e-signature.

Your data stays in your shop

Strict per-shop isolation — enforced application-side on every query. Cross-shop data leakage is a breach, not a bug.

Direct line to the founder

Email and a real conversation about what your shop needs — not a ticket queue, not a chatbot, not a sales SDR.

Questions from the counter

The honest answers.

What about walk-ins who never used the intake link?
You don’t need the link. Your staff can start a work order at the counter in a few seconds — enter the customer, the gear, the service, done. The intake page is just a head start for the customers who want to fill it out first; nothing depends on it.
What if the shop’s internet goes down?
FlowState runs in the cloud, so it needs a connection. If your shop Wi-Fi drops, staff can keep working from a phone on cell data, and because every change saves the moment you make it, nothing on the bench gets lost when you’re back online.
Do you integrate with my POS, like Lightspeed?
Not today, and it’s not on the near-term roadmap. FlowState runs alongside your POS, not inside it: your POS keeps handling sales and payments, and FlowState owns the work-order side — intake, the bench, pickup, and durable service history. If integration becomes something our shops truly need, we’ll look at it then and say so plainly.
How long from signup to my first real work order? Who sets it up?
Minutes. The 7-day demo spins up the moment you confirm your email — no call, no setup, sample data already loaded — so you can run a real order the same day. When you’re ready for a live shop, onboarding is a short conversation with the founder, not an IT project.
Can my seasonal staff learn it in a day?
That’s the whole design goal. The app is one intake page and one board — if someone can read a queue, they can run it, and most actions are a single tap. There’s a step-by-step Help Center for the details, and new staff are usually comfortable within a shift.
Can I export my data? What happens if I cancel?
Your work orders and customer records are yours. Service history is never deleted while your shop is active, and if you ever leave, we’ll get your data to you rather than hold it hostage.
What happens after the 7-day demo?
It expires, and that’s it. The demo is sample data for evaluation, with no card on file — so nothing auto-charges and nothing renews. If you want to keep going, you move to a live shop. If you don’t, you walk away and nothing happens.
Email or text notifications when gear is ready?
Email ships today: mark the gear ready and the customer automatically gets a branded “your skis are ready” note with a service summary and pickup details. Text (SMS) alerts are on the roadmap, not live yet — and we won’t bill you for them until they are.
